Intelligent Automation in Adelaide

Business process automation that combines workflow, RPA and AI to remove manual work for agencies and SMEs.

Intelligent Automation for South Australian organisations

Across South Australia, government departments and businesses are investing in automation to do more with the same resources. Typical targets are invoice processing, onboarding, approvals, reconciliations, reporting, and moving data between systems that don't talk to each other. Done well, automation frees staff for higher-value work, cuts errors and gives a clear audit trail.

EITSAA delivers intelligent automation in Adelaide from discovery through to managed support. We assess each process for value and risk, design within your governance and security environment, and build automations that are monitored, documented and easy to change. We are tool-agnostic: we work with Microsoft Power Platform, Azure, AWS and open-source orchestration, choosing what fits your licensing and skills.

We find the repetitive, rules-based work that slows your team down. Then we automate it with the simplest reliable tool, whether that is a workflow, a bot or an AI model, and we keep a person in the loop where judgement matters.

Examples

Triggers, steps and integrations

Every automation starts with a trigger, runs a set of rule-based steps, calls the systems you already use and ends with a clear outcome. Where judgement matters, a person approves. Where a system fails, the flow retries and then raises the exception. These example flows use generic system names for illustration.

Triggers

  • New email or attachment
  • File lands in a folder or bucket
  • Form submission
  • Schedule
  • Webhook or API event
  • Queue message

Integrations

  • Microsoft 365 and SharePoint
  • Dynamics 365
  • Xero or MYOB
  • Ticketing (ServiceNow-style)
  • Slack or Teams
  • SMS and push
  • Databases
  • AWS services

Invoice intake to accounting

Supplier invoices arrive by email and reach the ledger without re-keying.

  1. Trigger
    • New email with a PDF attachment
  2. Steps
    • Extract fields
    • Validate and calculate GST
    • Check for duplicates
  3. Human approval
    • Over the limit: manager approves
  4. Integrations
    • Xero or MYOB bill created
    • SharePoint copy filed
  5. Error and retry
    • API outage: retry with backoff, then raise a ticket
  6. Outcome
    • Bill posted. Team notified in Teams

New starter onboarding

One approved form sets up the accounts, equipment and welcome tasks.

  1. Trigger
    • Form submission from HR
  2. Steps
    • Check required fields
    • Pick the role template
  3. Human approval
    • Line manager confirms access
  4. Integrations
    • Microsoft 365 account
    • Ticket for equipment
    • Slack or Teams welcome
  5. Error and retry
    • Licence unavailable: retry, then assign to IT
  6. Outcome
    • Starter ready. Manager gets an SMS

Council service request routing

Requests from residents go to the right team with the right priority.

  1. Trigger
    • Webhook from the web form or queue message
  2. Steps
    • Classify the request
    • Look up the property record
    • Set priority by rule
  3. Human approval
    • Urgent or unclear: officer reviews
  4. Integrations
    • Case in the request system
    • Database record
    • Crew notified by push
  5. Error and retry
    • Lookup fails: retry, then park for manual triage
  6. Outcome
    • Resident receives a reference by SMS

Try the invoice flow yourself

Run a working version of the first flow. Your click is the trigger. The steps run in order in your browser: the sample invoice is parsed and validated, GST is calculated, an approval rule decides the route and the result arrives as a phone-style notification. Change the invoice or the approval limit and run it again to see the route change.

SharePoint

SharePoint migration and automation hooks

Government and councils commonly run internal sites on SharePoint. We migrate legacy intranets and on-premises SharePoint to SharePoint Online, then add the automation that makes the sites useful: approvals, notifications and records handling.

  1. LegacyOld intranet, file shares or on-premises SharePoint
  2. InventorySites, owners, permissions, content age and custom code
  3. MigrateMapped sites, metadata and permissions moved to SharePoint Online
  4. AutomateFlows, webhooks and Graph API integrations switched on
  • Power Automate approvals

Leave, procurement and policy approvals that start from a list or form and keep an audit trail.

  • Webhooks and Graph API

React to new files and list changes, and connect SharePoint to finance, HR and case systems.

  • Retention and labels

Retention labels and sensitivity labels applied by rule so records follow your obligations.

  • Power Automate
  • Microsoft Graph API
  • Webhooks
  • Retention labels
  • Approvals
  • Teams notifications

Desktop and vendor integration

Connect on-premises software to cloud portals and vendor apps

Your accounting or freight system can keep running where it is. A lightweight sync agent watches it for new work and passes it to the cloud securely, so jobs reach drivers on a vendor mobile app and status comes back, with no re-keying.

Example: freight jobs from a local system to a driver app

  1. Local systemOn-premises accounting and freight or transport management software keeps running
  2. Sync agentPolls or watches for jobs logged, requested and applied
  3. QueueSecure outbound push. Nothing opens inbound to your network
  4. Cloud portalJobs validated, deduplicated and assigned to a driver
  5. Vendor driver appThe driver workforce mobile app receives and accepts the job
  1. Status eventAccepted, started, delivered, with time and location
  2. Back-syncAgent writes status into the local system
  3. RetryFailures retry with backoff, then go to a dead-letter queue
  4. AuditEvery job and change logged with who, what and when
  • Database polling
  • File and folder watch
  • Vendor REST API
  • Webhooks
  • CSV or EDI drop
  • Desktop UI automation as a last resort

Why choose an Adelaide partner?

Working with a local team means face-to-face workshops, an understanding of South Australian regulatory and procurement requirements, and support in your time zone. Engaging EITSAA also keeps investment and jobs in South Australia, which counts under the SA Industry Participation Policy in government tenders.

See our government capability statement or read how we work.

Outcomes you can expect

Every Intelligent Automation engagement starts with outcomes we agree on, not just a list of features. Before we begin, we set measures such as hours saved, faster turnaround, higher customer satisfaction, lower operating cost or reduced risk. We report against them throughout delivery. You get a fortnightly demonstration of working software, a transparent backlog, and a named Adelaide-based lead who is accountable for progress.

When the work is done, you keep the capability. Documentation, source code, infrastructure definitions and runbooks are handed over in full, and knowledge-transfer sessions give your team the confidence to run and extend what we have built.

Security, privacy and compliance

Security and privacy are designed in from the first workshop. Our Intelligent Automation solutions follow the principle of least privilege, encrypt data in transit and at rest, and can be hosted in Australian cloud regions to meet data sovereignty requirements. We align with the ACSC Essential Eight, the Australian Privacy Principles and, for public sector clients, the SA Government Information Security Management Framework.

For regulated or sensitive work, we can complete privacy impact assessments, provide security documentation for your risk team, and support independent penetration testing before go-live.

Frequently asked questions

Which processes should we automate first?

Choose high-volume, rules-based processes with digital inputs and a clear owner. Our discovery phase scores each candidate on value, complexity and risk.

Is RPA still relevant now that AI exists?

Yes, for the right job. RPA is reliable for legacy systems without APIs. AI adds the ability to read unstructured documents and make suggestions, and the best results often combine both.

How do you keep automations secure?

Automations run under dedicated least-privilege accounts. Secrets are kept in a vault and every run is logged, in line with Essential Eight and agency security requirements.

Who supports the automations after go-live?

We can hand over to your team with full documentation and training, or support them through our managed automation service.

What triggers can an automation start from?

Common triggers are a new email or attachment, a file landing in a folder or bucket, a form submission, a schedule, a webhook or API event, and a queue message.

Does the demo on this page send my data anywhere?

No. The demo runs entirely in your browser on sample data. It makes no network calls and the sample ledger is cleared when you leave the page.

Where does a person stay in the loop?

Approvals and exceptions go to a named person or queue. Rules decide what is routine, and anything unusual, high-value or failed is handed to someone with the reasons attached.

Can you connect our on-premises accounting or freight system to cloud apps?

Usually, yes. A lightweight sync agent watches the local system, or polls its database or files, and pushes new jobs securely to the cloud. Nothing opens inbound to your network. Status returns the same way, with retries and an audit trail. We use the vendor's API where one exists and file or database methods where it does not.
